When and what we record
Our Charity receives personal details such as name, address, telephone number (including mobile numbers) and email address relating to voluntary and involuntary donations. These consist of donations received from individuals, in memoriam, legacy giving and from fundraising activities. Your personal information is safeguarded by the General Data Protection Regular (GDPR) Scheme 25th May 2018, UK Data Protection Legislation and our internal policies.
Why we keep records
We are obliged by financial law to keep your basic records for seven years for audit purposes only and this information (both paper and electronic records) is kept securely to prevent unauthorised access in line with current legislation and Our Charity does not share any information with third parties without your express permission.
When we use your information
We only use your information in the first instance to say thank you to you and to acknowledge your support, and we share this information with the Inland Revenue if you have agreed that Our Charity can claim gift aid on your donation.
You will be asked for your explicit consent for identifiable information to be shared with third parties if you wish us to contact you about future activities. These may consist of upcoming fundraising activities, newsletters and promotional or challenge events.
We will not disclose any information that identifies you to anyone outside Our Charity without your express permission.
You can access your records
You have the right of access to your own records as defined in the GDPR/ UK Data Protection Legislation Schemes which, with some exceptions, entitles individuals to a copy of information held about them. We take your complaints seriously
We will contact all those in our database once the seven year period us up to ask if it is ok to continue to keep your details on file. If you wish to make a complaint about the provision of Personal Information by Our Charity or the service you received when requesting access to your personal information, you are able to make a complaint to the Charity Manager at the Charities Office, Broomfield Hospital, Chelmsford, Essex CM1 7WE or telephone 01245 514559.
